ExpatPilot Terms

1. Provider and scope

ExpatPilot is provided by Sovit Kumar Agarwal, trading as ExpatPilot, Elbgaustr. 31, 22523 Hamburg, Germany. Contact: admin@expatpilot.de. These Terms govern the website, mobile application, and related services.

2. Eligibility

You must be at least 18 years old to create or use an account. Account creation requires an affirmative acceptance of these Terms and acknowledgement of the Privacy Policy, including when you use Google or Apple sign-in. ExpatPilot records the server time, sign-in method, and policy versions associated with that confirmation. You may manage information relating to a minor only if you are their parent, guardian, or otherwise legally authorized.

3. The Service

ExpatPilot helps users organize German life administration through personalized journeys, contextual task workspaces, document checklists, reminders, OCR, AI-assisted explanations, document summaries, communication preparation, the private local Vault, guides, office-visit preparation, and—when operationally enabled—community features. Specialist help appears inside the relevant journey, task, or Vault document rather than as a separate directory of generic tools. Features may change or be unavailable during development, maintenance, or provider outages.

4. Not official or professional advice

ExpatPilot is not a German authority, law firm, immigration adviser, tax-advisory practice, insurer, financial adviser, or medical provider. Outputs are organizational and informational. The original document, current law, official source, responsible authority, and facts of your case prevail. Obtain qualified professional advice for individual legal, tax, medical, financial, or other consequential decisions.

5. AI, OCR, and deadlines

Automated systems may misread scans, omit content, mistranslate text, identify an incorrect deadline or journey, or generate inaccurate information. A scan may propose tasks or a journey, but ExpatPilot does not apply those proposals until you select and confirm them. You can apply individual proposed actions without accepting the others. Check all pages and verify names, dates, amounts, references, deadlines, forms, recipients, and generated correspondence against the original and an official source. Reminders may fail because of device settings, connectivity, or provider errors; you remain responsible for binding deadlines.

When you request an AI response, ExpatPilot may send a redacted version of your prompt and recent submitted conversation, together with the minimum relevant server-built profile, journey, task, selected-document summary, official-source, or community context, to the configured AI provider. Ask ExpatPilot shows the context scope you selected, including a no-personal-context option. A general question does not authorize sending your entire document library, and selecting one processed document does not send other documents. Do not place secrets or unnecessary information about another person in a prompt. Contextual AI results may be saved with the journey, task, or document; general chat history is stored on your device as described in the Privacy Policy.

6. Accounts and documents

Provide accurate information and protect your email, password, device, and vault backups. Upload only material you are permitted to process, minimize third-party information, and do not use ExpatPilot as the only archive for an original document. Avoid medical records and other highly sensitive content unless a future feature expressly supports them.

7. Acceptable use

Do not access another account, bypass security or usage limits, upload malware, submit unlawful or unauthorized content, impersonate another person, use generated material for fraud, or present an AI output as an official or professional decision.

8. Community content

Community contributions are individual experiences, not official guidance. Before publishing, you must accept the current Community Guidelines. They prohibit threats, harassment, hate or discriminatory content, sexual content, exposed personal or confidential data, defamation, scams, fraud instructions, impersonation, spam, promotion, unlawful material, and content you are not entitled to share.

You retain ownership and grant ExpatPilot a non-exclusive, worldwide, royalty-free licence to host, reproduce, format, display, moderate, and distribute the contribution within the Service for as long as needed to operate Community. ExpatPilot may screen, hold, publish, limit, hide, remove, or preserve content and restrict an account when reasonably necessary to apply these Terms, the Community Guidelines, or the law. You can report content, block contributors, delete your own contributions, and request reconsideration through Community support.

9. Access and billing

ExpatPilot offers a Free plan and a Premium auto-renewing subscription. Premium is €4.99 per month or €39.99 per year, inclusive of VAT. The final localized price shown by Apple App Store or Google Play before purchase controls if it differs. Payment, renewal, cancellation, and eligible refunds are administered by the store account used to subscribe. You can cancel renewal in your store settings; cancellation normally leaves access active until the paid period ends. Deleting the ExpatPilot app or your ExpatPilot account does not cancel a store subscription. Use “Restore purchases” after reinstalling or changing devices.

Monthly allowances are: Free—20 AI help actions, 5 receipt scans, and 3 other document or Contract DNA scans combined; Premium—150 AI help actions, 30 receipt scans, and 15 other document or Contract DNA scans combined. AI Explain, Ask ExpatPilot, call preparation, reply drafting, and tone review share one AI-help allowance. Reopening, copying, or viewing a saved result does not use another action. Failed provider requests should not consume an allowance. Both plans receive the complete extracted facts and key risks for each permitted Contract DNA scan. Premium adds capacity and automatic enhancement for difficult scans. Allowances reset on the first day of each calendar month and unused capacity does not roll over.

10. Availability, changes, and termination

You may stop using the Service and request account deletion. ExpatPilot may correct, replace, suspend, or discontinue features for security, legal, technical, or product reasons and may restrict an account for material breach, unlawful activity, or serious risk.

11. Mandatory rights and liability

Mandatory consumer, warranty, conformity, and liability rights remain unaffected. Liability is unlimited where German law requires it, including intent, gross negligence, injury to life, body or health, and liability that cannot lawfully be excluded. For slight negligence involving an essential contractual obligation, liability is limited to typical foreseeable damage; subject to mandatory law, liability for other slight negligence is excluded.

12. Governing law and contact

German law applies, without depriving consumers of mandatory protections of their habitual residence. Statutory rules determine jurisdiction. Questions: admin@expatpilot.de.
